While our platform does not natively support long-term recurring calendar entries (e.g., standard weekly or monthly repeat rules), it provides a seamless alternate mechanism designed to support team cadence. The Follow-up Meeting Scheduler mitigates the lack of recurring structures by allowing organizers to automatically queue and schedule the subsequent instance of a meeting immediately upon concluding the current session.

Product Design Philosophy

This sequential approach prevents calendar drift and ensures that agendas remain relevant to the team's immediate sprint state. Instead of blindly filling calendars months in advance, scheduling occurs iteratively—preserving agility while matching the convenience of traditional recurring invitations.

1. User-Facing Workflow Guide

To schedule a follow-up session while closing out a current meeting, follow the steps visualized below:

  • 1 Initiate Conclusion: Within the active meeting, locate and click on the End meeting button and the bottom of the meeting sidebar
  • 2 Commit Intermediation: An "Ending meeting" confirmation dialog will open. Ensure that the checkbox labeled "Schedule the next occurrence of this meeting" is checked. Click End to confirm completion.
  • 3 Verify Inherited Fields: The platform will automatically intercept the termination event and open a "Schedule meeting" modal. The configuration automatically duplicates the previous context:
    • The meeting title (e.g., Cultural Leaders) and baseline agenda blocks are pre-populated.
    • The attendee list is maintained without manual re-entry.

  • 4 Configure Next Horizon: Select Next: Edit meeting schedule to proceed to the calendar configuration step. Choose the new Start Time and Duration (the platform suggests a date matching your historical sequence).
  • 5 Finalize and Broadcast: Ensure the "Automatically send calendar invitations" toggle is active, and click Schedule meeting. The system immediately provisionally locks the date and redirects you back to the board overview.
Pro-Tip for Fast Sprints

If the meeting configuration and attendees require absolutely zero changes, you can bypass the customization screens entirely by clicking the Run meeting now button to instantly drop back into a live session context.
